Hotel rooms fill up fast with a limited number available at discounted VMX rates. Special rates are based on availability, and are only available through the dates outlined below. Please keep a record of your confirmation number, confirm check-in and out dates and review your hotel’s cancellation policy ahead of arrival.

VMX Partner Hotels

When making your housing arrangements for VMX, it is important to use a company you can trust. VMX provides housing arrangements through our official housing bureau, ConferenceDirect. Booking within the VMX room block helps support the organization and keeps your future housing and registration fees low.

Sub-Block Room Form

The NAVC has negotiated special discounted hotel room rates at a variety of Orlando properties. Exhibitors can request sub-blocks within our current inventory.

ATTENDEES: Any reservation can be canceled with no cancellation fee charged until September 30, 2024. Reservations cancelled on or after October 1 will be charged the following Cancellation Fees: from October 1 - 31 will be $50.00; from November 1 - 30 will be $75.00; from December 1 - 31 will be $100.00 and January 1 - your arrival date will be $150.00. Cancellation fee charges will appear on your credit card statement as “CONFDIRECT*VMX2025". Cancellations made directly with the hotel will also incur this fee.

EXHIBITORS: There will be a $150 cancellation fee for any guest room cancelled anytime after Friday, November 8, 2024. Should you cancel, this charge will appear on your credit card statement as "CONFDIRECT*VMX2025". Cancellations made directly with the hotel will also incur this fee.

Additionally, each hotel has their own cancellation policy – Hotel required cancellations be made at least 72 hours prior to check in date to avoid being charged a cancellation fee of a one night’s room and tax.

Early Departure Fee: For any changes to your departure date, please notify the hotel at least 72 hours prior to check in to avoid any Early Departure Fee charges. Please refer to your acknowledgement email to see if your hotel has an early departure fee.

ConferenceDirect is our official hotel booking company. VMX has not contracted with any company other than ConferenceDirect and we cannot guarantee that any other booking company that may contact you is legitimate.
