Position Objective


The Exhibit Sales & Operations Coordinator role will provide high-level support and oversight for NAVC’s tradeshows, events and partnership programs, including, NAVC Annual Conference, VMX. Collaboration and teamwork are integral for this position. Responsible for duties outlined below; others may be assigned as required. This position will have extensive contact with service contractors, vendors, and other entities providing services for or participating in exhibit operations or events. Additionally, this position will assist on the aspects related to meeting operations, exhibit sales, exhibit support, and reporting.

Primary Responsibilities:

  • Support all aspects of the planning, implementation, management, and on-site execution of the NAVC Annual Conference, VMX, (27,000 attendees).

  • Support all aspects of the exhibit sales and process such as development of the sales database, outreach, processing of contracts, general correspondence, and reports.
  • Participate in the development and review of all meeting-related collateral.
  • Assist in the development of meeting specifications, banquet event orders, and all other logistical considerations.
  • Manage Affiliate and Interest Group meeting space requests.
  • Support the planning, implementation, and management of other NAVC meetings.
  • Assist with the preparation and tracking of projects, operating budgets, activity reports
  • Assist with the development of department budgets.
  • Support all exhibit hall events and coordination.
  • Assist in the development of the exhibitor publications to include the exhibitor prospectus and the promotional and logistics material, and content and messaging for the exhibit’s sections of the website, app, and other materials.
  • Serve as the primary customer service agent for the meetings and exhibit department.
  • Foster strong relationships with key stakeholders, including event organizers, sponsors, and technology teams.

EDUCATION AND EXPERIENCE:

  • Bachelor’s degree preferred
  • One–three years’ experience in tradeshow, event, and or sponsorships
  • Ability to function both independently and in a team-oriented collaborative environment required.
  • Conduct the highest customer service standards possible in responding to inquiries, requests, and comments from members, customers and potential supporters.
  • Capable of setting priorities when multiple demands are present.
  • Knowledge of hotels, conventions, and/or associations is a plus; stays current with industry trends, and technology.
  • Follow all policies, processes, and procedures to ensure a high degree of timely and effective customer service, logistics and sales standards.
  • Excellent writing, speaking, and interpersonal skills.
  • Ability to collaborate effectively across organizational lines.
  • Must possess an intermediate working knowledge of Microsoft Office products including Word, Excel, and PowerPoint.


Additional Position Information:

  • 5-10% travel (occasional day trips), primarily between Orlando and Gainesville, FL
