This role is focused on being the liaison between NAVC and eShow event management software.
To perform this job successfully, candidates must understand the conference and event management industry as it involves understanding association and corporate event planning best practices. The Event Operations Team is responsible for all technical system aspects of planning on-site registration, meeting and special event amenities and accommodations associated with our internal and contractual client agreements.
The Event Operations Project Coordinator will work the entire life cycle of an event from the infancy stages of planning to the close and post conference conversation. Dependent on products serviced, the event coordinator can be managing as many as seven or eight components to an event at any given time.
Subject matter expert in all facets of the eShow online event management system as well as the mobile event app
Gather content from internal stakeholders and build public facing systems for:
Conference registration paths
Exhibit & Sponsorship sales
Program development (call for papers, abstracts, etc)
Meetings inventory management
Additional responsibilities can include the following:
Schedule speakers, vendors, and participants.
Work with exhibitors and sponsors to secure all outstanding items.
Coordinate event logistics, beyond registration such as attendee tracking, presentation and materials support including pre- and post-event evaluations.
Two to five years’ experience in an events management customer support role.
Bachelor’s degree or certificate in area of specialty, Meeting, Convention and Exhibition Management is preferred.
High-level of technical aptitude particularly with CRM/database management, data imports, web page building and on-line form creation and management.
Must be familiar with Microsoft Word, Excel and PowerPoint tools. Imports, handouts, and reporting are very much a large component of the positon
Project management capability. Able to work with others to disperse tasks and attain set deliverables and benchmarks within.
Must be highly collaborative and comfortable working in a matrix environment.
Must have proven experience taking business requirements from others and translating those into positive solutions.
Must be able to deal with challenging situations in a deadline driven environment.
A certain degree of creativity and latitude to work as a self-starter is required.
Excellent written and oral communication skills.
Ability to adapt to change, software evolution and enhancement.
Effective troubleshooting that proofs out setup issues and the ability to articulate any issues needing programmatic resolution.
